Roles and Permission levels
Last updated: March 3, 2026
The Flow settings page allows you to manage each flow’s permission levels and roles.
We support the following permission levels and roles:
Manager: Possesses unrestricted access and full control of a flow and a task, including editing flows and on-going tasks management.
Owner: Can view all tasks and use the activity log chatter. The purpose of this permission level is to designate a process owner who will have full visibility.
Collaborator: Can view all tasks and use the activity log chatter. In addition to pre-designation as a Collaborator, each Assignee or User mentioned in the Tasks’s activity log will be added as a collaborator.
Requester: Can initiate a flow and view only tasks requested by it.
Assignee: Similar permission level as a Collaborator, with additional permissions specific for the task the user has been assigned too (such as an Approver or lawyer assigned to a Negotiation). Important note: the Assignee is set in the applicable Step in the Flow builder (for example, when adding the Approval Step), and not in the settings page.

Tip: by using the “Customization” Step, you can set and/or change the Task’s Ownership mid-task. For example, you can set the Task's owner conditioned by the agreement type being reviewed or relevant company department.
