How to integrate Chamelio with DocuSign

Chamelio integrates with DocuSign to automatically capture signed contracts and agreements into your legal intelligence platform. Store executed documents in your smart repository, extract key data points, and maintain a complete audit trail of your contract lifecycle.
Overview
The DocuSign integration enables automatic synchronization of executed agreements from DocuSign into Chamelio's smart repository. This integration supports both organization-wide and user-level connections, giving you flexibility in how documents flow into your legal intelligence system.
Prerequisites
Before setting up the DocuSign integration, ensure you have:
- Admin access to your DocuSign account (for organization-level connection)
- A Chamelio account with Admin permission
- Clarity on which DocuSign envelopes should sync to Chamelio (filtering strategy)
Phase 1: Connect DocuSign to Chamelio
Organization-Level Connection (Recommended First Step)
1. Navigate to Settings > Integrations in Chamelio
2. Select DocuSign Connect
3. Click Connect and authorize with your DocuSign admin credentials
4. Complete the OAuth authorization flow
Note: Start with an organization-level connection established by your DocuSign account admin. This provides the broadest access and simplifies initial setup.
User-Level Connections (Optional)
After establishing the organization-level connection, individual users can add their own DocuSign connections for personal signing workflows:
1. Each user navigates to Settings > Integrations > DocuSign
2. Click Add User Connection
3. Authorize with their individual DocuSign credentials
User-level connections are particularly useful for users who need to sign documents directly through Chamelio or want to track their personal signing activity.
Phase 2: Configure Document Filtering
Once connected, contact the Chamelio team to establish which DocuSign envelopes should sync to your smart repository. Share your preferred filtering approach:
Option 1: Email-Based Filtering
Filter documents based on sender or recipient email addresses:
- Include only specific emails: Sync only envelopes sent from designated email addresses (e.g., [legal@yourcompany.com](mailto:legal@yourcompany.com), [contracts@yourcompany.com](mailto:contracts@yourcompany.com))
- Exclude specific emails: Sync all envelopes except those from certain addresses (e.g., exclude [hr@yourcompany.com](mailto:hr@yourcompany.com) for employment agreements managed elsewhere)
Best for: Organizations with clear email domain separation between legal and non-legal workflows.
Option 2: Custom Field Filtering (Recommended for Shared Accounts)
Create a custom field in DocuSign to explicitly control which documents sync to Chamelio:
1. In DocuSign, create a custom envelope field named Store in Smart Repository
2. Set values to Yes or No
3. Configure Chamelio to sync only envelopes where this field equals Yes
Best for: Shared DocuSign accounts where multiple departments use the same instance, giving senders granular control over what enters the legal repository.
Option 3: Custom Filtering Logic
For complex filtering requirements, contact your dedicated Chamelio legal engineer to design custom logic based on:
- Multiple custom field conditions
- Recipient patterns
- Template-based filtering
Phase 3: Historical Data Migration (Optional)
Loading Existing Signed Documents
Chamelio can import all historical signed documents from your DocuSign account:
Requirements:
- Admin-level DocuSign connection (established in Phase 1)
- Same filtering logic from Phase 2 applied to historical data
Process:
1. Notify the Chamelio team that you want to perform a historical data load
2. Confirm which filtering rules should apply to historical envelopes
3. Chamelio will sync all previously completed envelopes matching your criteria
Selective Historical Import
For more control over which historical documents are imported:
1. Request an export of all DocuSign envelopes from the Chamelio team
2. Receive an Excel file listing all available envelopes with metadata
3. Add a column to mark which envelopes should be imported (Yes/No)
4. Return the annotated Excel file to Chamelio
5. Chamelio will import only the marked envelopes
Best for: Organizations with large DocuSign histories who want to curate which legacy documents enter the smart repository.
What Happens After Setup
Once your DocuSign integration is configured and filtering rules are in place:
- New completed envelopes automatically sync to Chamelio based on your filtering criteria
- Documents are analyzed and indexed in your smart repository
- Key data points are extracted and made searchable
- Your legal team can access executed agreements alongside other contract intelligence
