Manage Custom and System Fields
The Fields section in Settings allows you to manage all custom and system fields across your entire Chamelio organization. Fields define the metadata and attributes that can be extracted from documents, assigned to records, or used to categorize and organize your contracts and agreements. This guide provides comprehensive information on understanding, creating, and managing fields in Chamelio.
Overview of the Fields Interface
The Fields page displays a comprehensive list of all fields in your system. You can view and manage fields by accessing Settings > Fields. The interface provides multiple ways to organize and filter your fields, along with detailed information about each field's configuration and usage.
Field Types
Chamelio supports several field types, each designed for specific data:
List Fields: Multi-value fields used for categorization, grouping, or selecting from predefined options (represented by ≡ icon). Examples include Document Type, Exhibits, Active, Services, and Department.
Text Fields: Free-form text fields for capturing names, descriptions, comments, or any text-based information (represented by T icon). These include fields like Contract Term, Jurisdiction, Applicable Law, Owner, Comments, and CoC.
Date Fields: Date-specific fields for capturing contract dates, deadlines, and timelines (represented by 📅 icon). Common date fields include End Date, Effective Date, Execution Date, Notice Period for Renewal, and Notice Period for Termination.
Number Fields: Numeric fields for capturing numerical values such as contract values or counts (represented by # icon). Examples include Contract Value and Exit Notice Periods.
Boolean Fields: Yes/No fields for indicating binary states (represented by ◇ icon). These include fields like Auto Renewal, Termination for Convenience, Privacy Terms, and Logo.
Cluase Fields: Fields that extract an entire clause from the contract (represented by ⊚ icon).
Field Scopes
Fields are organized by scope, which determines their availability and usage across your Chamelio instance:
Global Scope: Global fields are available across your entire organization and all collections. These are system-wide fields that apply universally. Examples include Document Type, Exhibits, Active, User Party Name, Counter Party Name, End Date, Contract Term, and Language.
Core Scope: Core fields are system-defined fields that support core Chamelio functionality for contract management. These foundational fields are essential to the platform's core contract analysis and classification features.
Collection Scope: Collection-specific fields are available only within particular collections. These allow teams to create custom fields tailored to specific contract types or business processes. Fields like Services, Marketing, and Services/Products are collection-specific.
Custom Scopes: Some fields may be scoped to specific document types or agreement types, such as "Vendor Agreement", "Master Services Agreement", or "Order Form", restricting them to those particular contexts.
Understanding Field Configuration
When viewing the Fields list, you can see detailed information about each field's configuration:
Name: The field name and description. Field names are descriptive labels that appear in the interface.
Type: The data type the field holds (List, Text, Date, Number, Toggle, Clause, etc.), displayed using visual icons.
No. Of Docs: The number of documents that currently use or reference this field, showing which fields are actively used in your repository.
Scope: Where the field is available (Global, Core, Collection, or custom scopes like Vendor Agreement or Master Services Agreement).
Smart Extraction: Whether AI-powered smart extraction is enabled for this field. Fields with Smart Extraction enabled allow Chamelio AI to automatically extract and populate field values from document content.
Last Update: When the field was last modified, helping you track field changes over time.
Owner: Who created and manages the field, displayed as user initials or avatars.
Creating Custom Fields
To create a new custom field in your Chamelio instance:
Navigate to Settings > Fields
Click the "Add Field" button in the top right corner
Enter the field name and provide a clear description of its purpose
Select the field type (List, Cluase, Text, Date, Number, or Boolean)
Choose the appropriate scope:
Global: Make the field available across all collections
Document Type: Apply the field to specific document types only
Enable Smart Extraction to allow AI-powered automatic population of this field from document content
Click Save to create the field
Custom fields become immediately available for use in your selected collections and can be applied to documents, used in searches, and referenced in automations.
Smart Extraction and AI-Powered Field Population
Fields with Smart Extraction enabled leverage Chamelio AI to automatically extract values from document text and populate the field. This reduces manual data entry, improves accuracy, and ensures consistency across your contract repository.
